Group Settings

Group settings control how your ASM group operates - from basic information to game reminder emails, bookoffs, and what guests can see. Only members with executive permissions can change them.

Accessing Group Settings

  1. Click your name or avatar in the top navigation and select Settings
  2. Choose Group Settings
  3. Make sure the correct group is selected - the settings you see always belong to the currently selected group

Note: If you don't have executive permissions you'll see "You do not have executive permissions for this group. Please contact an executive to make changes." instead of the settings. Executive permissions means a chief, assignor, manager, or coach position in the group.

Saving Your Changes

Nothing saves automatically. Group settings work as a single form across every sub-tab:

  • Changed fields are highlighted in orange so you can see what's pending
  • Click Save Changes at the top of the page to commit everything at once
  • Click Discard Changes to throw away all pending edits
  • When there's nothing pending, the Save button tooltip reads "No changes to save"

Tip: Because it's one form, you can move between sub-tabs and change several things before saving - one Save Changes commits them all.

The General Tab

Group settings are organized under the General tab, which is split into sub-tabs down the left side. Each one is covered below.

Basic

Your group's core identity:

  • Group ID and sport/season - shown as read-only text at the top
  • OrganizationGroup Name - the name members see (required, under 200 characters)
  • Contact Information - Address, City, State/Province, Zip/Postal Code, and Country. The postal-code label switches between Postal Code and Zip Code depending on the country you pick, and the state list is filtered by country
  • Time Zone - "Your time zone is used to display dates and times."
  • League Game CommentShow league game comment in My Schedule - comments pulled from a crawled league website always appear in the Master Schedule; this toggle also shows them to your members in My Schedule
  • Ladder League - turns on Ladder League mode, which adds a separate top-level tab for player rankings and dual availability

Member Types

Member Types & Default Settings - tells ASM which roles your group uses and how many of each a game needs by default:

  • Group has Umpires/RefereesDefault Number of Umpires
  • Group has ScorekeepersDefault Number of Scorekeepers
  • Group has SupervisorsDefault Number of Supervisors

The default counts are used when new games are created, so setting them correctly saves work on every game.

Contact List

A single Privacy setting: Display Member's addresses in the Contact List. Leave it off if your members would rather not share home addresses with the rest of the group.

Rankings

ASM ships with a five-tier ranking system - Senior, Junior, Intermediate, Novice, and Rookie. This sub-tab lets you rename them:

  • Rank Names - set your own label for each tier, in both English and French
  • Sub-Ranks - optional second level beneath each rank
  • Privacy - four toggles controlling where ranks appear: Display Rank in Contact List, Display Rank to Guests & Non-Members, Display Sub-Rank in Contact List, and Display Sub-Rank to Guests & Non-Members

Availability

Two scheduling defaults:

  • Members are expected to arrive (X) minutes before each game - the label updates live as you change the number
  • Maximum Game Length (in minutes) - how long a game is assumed to run, which sets when the member is considered free again

Note: Together these two settings define the full block of time a game occupies - from arrive-before minutes before the start time through to max game length after it. ASM uses that block in two places. For availability, a member only counts as available if they're marked available for every hour the block touches, not just the hour the game starts. For double-bookings, the same block is what ASM compares between two games on the same day - if they overlap, it flags a conflict. A league can override both values, in which case the league's numbers are used instead of the group defaults.

Tip: Availability is recorded in whole hours, so the block is widened to hour boundaries: the start is rounded down and the end is rounded up. A 7:00 PM game with 30 minutes arrive-before and a 120-minute max length runs 6:30 PM to 9:00 PM, which rounds out to the 6 PM, 7 PM, and 8 PM slots - the member has to be available for all three. Because of the rounding, raising arrive-before from 30 to 60 minutes changes nothing here, but raising it to 61 pulls in the 5 PM slot as well.

Notifications

This sub-tab is where you turn on automatic game reminder emails.

  1. Turn on Send Game Reminder Emails - this sends a reminder to every member assigned to an upcoming event
  2. Two settings appear once the toggle is on:
    • Game Reminder — Days Before - how many days before each game the reminder goes out. The minimum is 0, which turns reminders off.
    • Game Reminder — Send Hour (region-local time) - the hour of the day (0–23) reminders are sent, in your region's local time
  3. Click Save Changes

Note: Hours skipped by the daylight saving time spring-forward are greyed out in the Send Hour list - a reminder scheduled for one of them would never fire on that day.

Important: This group setting only controls whether ASM sends the reminders. Each member also has to keep Game Reminders turned on under ProfileNotificationsFrom Email. See Notification Settings & Additional Emails.

Requests

Controls how members request games from the Available Positions page. Note that these two settings labels still use the page's older name, Available Spots:

  • Email Admins when Members request games
  • Show events in Available Spots up until - a cut-off date. Members can browse and request positions for games up to this date; games after it won't appear on Available Positions.

Bookoffs

  • Enable Bookoffs - lets members book themselves off games they've been assigned to
  • Disable Bookoff (X) hours before game - appears once bookoffs are enabled, and sets the cut-off. Past that point members have to contact an assignor instead.

Auto Sync

  • Auto Sync Schedule - automatically keeps your schedule in step with an external source
  • Auto Sync Cancellation Hours Before - appears once auto sync is on. Changes stop syncing for games starting within this many hours, which prevents last-minute automated edits.

Non-Member Access

"Toggle each section you want guests and non-members of your group to access." Fifteen individual toggles: Main Page, Wall, Articles, Photos, Contact List, Links, Locations, Leagues, Official Group, Team, Availability, Holiday List, Availability Due Dates, Full Schedule, and Available Spots.

Everything is opt-in - a section stays private until you switch it on. The Available Spots toggle controls the Available Positions page; that toggle label still uses the page's older name.

Manage the categories used to organize your group's shared links. Create a category with the + button, then rename, recolour, delete, or drag it into a new order. Categories like Rulebooks, Training, or Forms keep the links library easy to navigate.

Tips

  • Turn on Send Game Reminder Emails - fewer members forget a game they confirmed weeks ago
  • Set Game Reminder — Send Hour to a time your members actually read email - early evening beats the middle of the night
  • Get Member Types right early: the default counts apply to every game you create afterwards
  • Review Non-Member Access at the start of each season - it's the easiest setting to forget and the one most likely to expose something you didn't intend
  • Remember the orange highlight - if a field is still orange, your change hasn't been saved yet
